Accessing RefWorks

Adding References

There are two methods to add reference(s) into your RefWorks database: manually or electronically via the use of library databases.

Adding Records Manually

  • Select References > Add New Reference
  • From the View required fields for drop down menu, select the relevant style i.e APA (See - Figure 4)
  • From the In Folder(s) drop down menu, select the relevant folder
  • From the Ref Type drop down menu, select the relevant reference type i.e. Journal
  • Add information as required into fields. All asterisked fields must be completed
  • Author names are entered as: Smith, M. or Smith, Maggie
  • When you have finished, select [Save Reference] button
  • The reference will then be stored in your chosen folder
  • Note: you do not need to use the formatting option(s) when entering in data. For example, if the style requires the title of a work to be in Italics, you don't need to format the reference to reflect this, as your chosen style will format this in your papers automatically

Editing Records

You can edit records that you have added to your RefWorks account at any time. Search for your record by selecting the relevant folder or conduct a search for the reference by selecting Search > Advanced to enter key identifying details and click in the [Search] button to commence search.

Once you have located your record, select the Edit link. Make your changes and select the [Save Reference] button to update the Reference.

Direct Export

Direct Exporting of references from a database into RefWorks is the quickest and easiest method to add records to your RefWorks folders. Not all databases offer a direct export option, so please refer to the UWS RefWorks support page to see which UWS databases have this feature and how to export records in the correct format.

Importing Records from Library databases into RefWorks

You can search for references in Library Databases and 'import' these references into your RefWorks database, as this is much more efficient than typing them in manually. Importing requires records to be saved as text file first, so they can then be imported into RefWorks, provided that records are saved in the correct format and that you select the right import option from the RefWorks website. Please refer to the UWS RefWorks support page to see which UWS databases have this feature and how to import records in the correct format.

Searching the UWS Library Catalogue

  • Select Search > Online catalogue or databases
  • Search by keyword or use the Advanced Search option to narrow your search by Author, Title or Publication Year. (See - Figure 5)
  • Select the [Search] button to commence search.
  • Records will then be imported into the 'Last Imported Folder' where you can choose titles by selecting the 'check box'. Once selections have been made, use the Import to folder option to choose the relevant folder for the records to be transferred to.
  • Select the [Import] button to transfer the reference(s)

Last Imported Folder:

When importing references from Library databases or Library Catalogue, references are automatically imported into the 'Last Imported' folder. Ensure that you transfer the imported reference(s) to the relevant folder. The Last Imported folder will keep a 'copy' of the imported reference(s), so to minimise confusion delete the remainder of references from the 'Last imported Folder'.

  • Go to, Folders > View > Last Imported
  • Change option to All in List
  • Select the [Delete] button

All references that were stored in the 'Last Imported' will then be deleted
