Procedure for purchasing non library book and journals

UWS Library is the major provider of scholarly resources and associated services and is conscious of its primary responsibility to support the learning, teaching and research endeavours of the University. An extension of this service will now include the purchasing of all books and journal subscriptions required as working tools or professional reference by staff at the University.

The Library negotiates discounts with major Library suppliers and these will be applied to all associated internal budgetary transfers. For audit purposes, the Library is responsible for recording and tracking all books and journals acquired using operating funds, internal or external research funds and/or donations. All books and journals acquired remain the property of the University.

Where an exception has been granted allowing purchase of books / journals on Corporate Mastercard, details of the book/journal must be sent to the Library for recording purposes and to provide an annual reconciliation report.

1. Process for ordering UWS non library Books and Journals

  • Order requests can be placed online via the Library Webpage. Order form is available at: http://library.uws.edu.au/ordernonlibrary.php or
  • Library Web page > Academic & General Staff > Ordering Non-Library Books / Journals
  • Fill in all fields on the order form, including Name, School/Research Unit/Department, Cost Centre Code, email address. Record bibliographic details in the "Item details and notes" field.

The Library also accepts order requests via email uws-libacq@uws.edu.au. Please provide all the information outlined in the Online order form above.

When requested item is received and processed by the Library, permanent loan will be applied and item will be sent to requestor's office.

At the end of each month, an internal budgetary transfer will be sent to the office of Deans of Schools and Research areas.

2. Process for Recording Books/Journals purchased with Corporate Mastercard or Donations received

Full details of the purchase or donation are to be provided to the Library for recording and auditing purposes.

This information can be provided by either emailing publication details (title, author, year of publication, ISBN,) and attaching a copy of receipt; or by sending/mailing copy of title page and back of title page (verso) along with copy of receipt to the Library.
